How to Write Quotes and Estimates with AI (Without It Inventing Prices)

The slow part of quoting usually isn’t the math, it’s turning scribbled notes into a message a customer understands. AI is good at that wording. It is bad at knowing your prices. This guide keeps those two jobs separate.

Rule one: you set the price, AI writes the words

Work out the number first, with your own price list or a calculator. Then hand AI the number and tell it not to change it. Every prompt below ends with “Use my prices exactly. Do not add or change any price.”

Step 1: Make a one-time fact sheet

Write this once and paste it at the top of every quoting chat (or save it in a custom GPT):

Step 2: The quote prompt

Using my fact sheet above, write a short, friendly quote for a [JOB TYPE] for [CUSTOMER FIRST NAME]. Details: [SIZE / VEHICLE / SQ FT, CONDITION, ACCESS NOTES]. Price: [YOUR PRICE]. Included: [LIST]. Not included: [LIST]. Next step: [HOW TO BOOK]. Under 120 words, plain language. Use my prices exactly. Do not add or change any price.

Step 3: Ask what’s missing

Here is my quote: [PASTE]. List questions a customer might still have (time on site, water or power access, pets, parking, what happens if it rains). Don’t rewrite it and don’t change prices.

This catches the questions that cause back-and-forth texts or surprise disputes later.

Step 4: Offer good-better-best options

Turn these three packages into a short options message: [BASIC + PRICE], [STANDARD + PRICE], [PREMIUM + PRICE]. One line each on who it suits. Keep my prices exactly.

Step 5: Follow up once

Write a friendly 2-sentence follow-up text for a quote I sent [X] days ago. Offer two open times: [DAY/TIME], [DAY/TIME]. No pressure, no discounts.
