What an AI receptionist does
- Answers calls in a natural voice, usually 24/7 or only when you don’t pick up.
- Answers common questions from information you give it: hours, service area, services, starting prices, how booking works.
- Takes a message (name, number, vehicle or property, what they need) and sends you a summary by text or email.
- Some can text the caller a booking link or book directly into a calendar.
- Transfers to you or a human for anything it can’t handle, if you set that up.
What it shouldn’t do: quote final prices on jobs that need an inspection, promise damage repairs, or make up answers. Tell it to take a message instead.

| Option | Best for | Notes |
|---|---|---|
| Frontdesk | Owner-operators who want phone answering set up quickly | Dedicated AI receptionist for small businesses. Check current plans and call limits on their site. |
| HighLevel | Owners who also want CRM, text marketing and automations | Powerful but more setup; AI voice/chat agents are part of a larger platform. |
| Jobber | Businesses already running jobs in Jobber | Jobber offers an AI receptionist option that connects to your client list and schedule; check availability and pricing. |
| Missed-call text-back | Tight budgets | Many phone and CRM tools can auto-text “Sorry I missed you, how can I help?” Not AI, but cheap and often enough. |
Setup in 6 steps
- Write your fact sheet. Hours, service area (towns or ZIP codes), services with what’s included, starting prices, deposit and cancellation rules, booking link, and when to send a call to you.
- Decide when it answers. After a set number of rings, after hours only, or always. Most owners start with “when I don’t answer.”
- Connect your number. Usually you forward unanswered calls from your current number to a number the service gives you. Your carrier’s conditional call forwarding settings handle this.
- Write the greeting. Say it’s a virtual assistant. Example: “Thanks for calling [Business]. I’m the virtual assistant. I can answer questions or take a message for [Owner].”
- Test it. Call it yourself 10 times with real questions: price for an SUV interior, do you come to apartments, can you remove pet hair. Fix any wrong or vague answers in the fact sheet.
- Check summaries daily for the first two weeks and call people back fast.
Legal basics (US)
Some states require everyone on a call to consent to recording, so if calls are recorded or transcribed, say so in the greeting. Texting callers back is generally fine as a reply to their call, but marketing texts need permission and an opt-out under the TCPA. This isn’t legal advice; check your state’s rules and the vendor’s compliance settings.
Is it worth it?
Do the math with your own numbers: how many calls you miss a week (your phone’s call log shows this), how many of those were likely new jobs, and your average profit per job. If one or two saved jobs a month cover the subscription, it’s worth a trial. Our job costing guide shows how to find your real profit per job.
