Option A: Gemini inside Gmail
Google builds its Gemini AI into Gmail on some plans, including many Google Workspace business plans and some paid personal Google plans. Which features you see depends on your plan and region, so check Google’s current plan pages. Where available you can:
- Help me write: describe the email (“polite reply confirming Saturday 9 AM, $50 deposit required”) and get a draft to edit.
- Summarize a thread: get the gist of a long back-and-forth with a commercial client.
- Refine: make a draft shorter, more formal or friendlier.
Option B: Any chat assistant, copy and paste
Works on any plan, free. Paste the customer’s email into ChatGPT, Claude or Gemini with an instruction like: “Write a reply for my pressure washing business. Our driveway cleaning starts at $X, I can come Tuesday or Thursday, and I need the square footage or a photo to confirm price. Friendly, under 100 words.” Remove the customer’s phone number and address before pasting.
Turn your best replies into Gmail templates
Once AI helps you write a good answer to a common question, save it so you never write it again. In Gmail, turn on templates under Settings > See all settings > Advanced > Templates. Then, in a draft, use the three-dot menu > Templates > save draft as template. Good ones to save:
- Quote request reply (asks for vehicle/property details and photos)
- Booking confirmation with prep instructions
- Deposit and cancellation policy
- “Thanks, here’s your invoice” with payment options
- Review request after a job
Keep the inbox sorted with filters and labels
Gmail filters aren’t AI, but they do a lot: label anything from your booking form as “Leads”, supplier receipts as “Expenses”, and Payhip or Stripe notices as “Payments”. Search for an example email, click Show search options, then Create filter.
What not to automate
- Don’t let any tool auto-send replies to customers without you reading them.
- Be careful with third-party add-ons that ask for full access to your mailbox; only install ones from companies you trust, and review permissions in your Google Account under Security > third-party connections.
- Never paste card numbers or passwords into AI tools.
Track the money side too
Faster replies mean more booked jobs, and more invoices to track. If you invoice from a spreadsheet, these keep it organized:
