How to Use AI for Google Reviews and Your Business Profile

The line you don’t cross

Never use AI to write fake reviews, post reviews for yourself, or offer customers rewards for positive ones. Google’s policies prohibit fake engagement, and the FTC has rules against fake reviews. Use AI for your side of the conversation only.

Replying to 5-star reviews

Write 5 different short thank-you replies to 5-star reviews for my [TRADE] business. Under 35 words each, warm, not salesy, no emojis. Leave a [DETAIL] slot where I’ll mention the specific job.

Save the ones you like, then add one real detail each time (the car, the driveway, the move-out clean). That detail is what makes it sound like you.

Replying to bad reviews

Here is a negative review: [PASTE]. Facts: [WHAT HAPPENED]. Write a calm public reply that thanks them, owns any real mistake without admitting things that didn’t happen, and invites them to call [PHONE]. Under 80 words, no arguing.

Sleep on it before posting if you’re annoyed. Future customers read your reply more than the complaint.

Asking for reviews

Write a short text I can send right after a job asking for a Google review. Include [REVIEW LINK]. Friendly, under 40 words, no incentive offered, and make it easy to say no.

Get your review link from your Business Profile (look for “Ask for reviews” or “Share review form”).

Business Profile posts

Write 4 Google Business Profile updates for my [TRADE] business in [TOWN] for [MONTH]: one seasonal tip, one service highlight, one before/after caption for [JOB], one booking reminder. Under 80 words each, no made-up stats or awards.

Answering common questions

Write clear answers to these customer questions for my profile and website FAQ: [PASTE 5 REAL QUESTIONS]. Use only these facts: [FACT SHEET]. If a fact is missing, write [ASK OWNER].

A simple weekly routine

Monday: reply to every new review (10 minutes with saved replies).
After each job: send the review request text.
Once a week: one Business Profile post with a real photo.
